When it comes to adding and dropping classes, it is your responsibility to be aware of any deadlines and your class status. You will also need to take note of how adding or dropping any classes may impact your financial aid, Veterans Benefits, or F1-Visa status.

Add and Drop Class Processes

Please review the menus below to understand the process of adding, dropping, auditing, waitlist, swapping and section change.

  • Adding Classes

    Requirements

    Meet enrollment requirements listed in your course details by using credit from past courses or your test scores. If you are enrolled in a course and do not meet the requirements, you may be notified by the Office of the Registrar and dropped.

    Deadlines

    You can register for full-semester 16-week classes through the first week of the term. Please enroll in classes as early as possible, as deadlines may vary for each class. To request permission to register for classes that result in time conflict, please complete the Time Conflict Registration form (PDF).

    Outcomes

    Most programs limit students to 18 credits. If you want to exceed your maximum credit amount, you will need to complete the Study Load Approval Form (PDF).

  • Dropping Classes

    If you drop a class at least 24 hours before the first day of the class, you will not be charged tuition for that class.

    Requirements

    Before dropping a class, you are encouraged to contact your advisor to discuss all options and the impacts of dropping. Be sure to meet with your advisor to discuss your grading options. Apprenticeship students should review the Apprenticeship Withdrawal Advisory Memo (PDF) before dropping courses. Instructors and other 3rd parties may not add or drop classes for you. You may be notified by the Office of the Registrar or Dean of Students Office if you must drop a class.

    Deadlines

    Students who are prevented from dropping their class(es) before a drop deadline due to system-wide technical issues may contact Enrollment Services for assistance at enrollmentservices@madisoncollege.edu or 608.246.6210. Please refer to the list below for deadlines.

    100% refund: Drop class at least one day before it starts.

    80% refund: Drop class before 11% of the class is completed.

    60% refund: Drop class after 11% but before 20% of the class is completed. Classes dropped during any refund period do not appear on your transcript.

    0% refund: Drop class after 20% of the class is completed. Classes dropped after the 60% refund period remain on your transcript and receive a final grade of "W" (withdrawal).

    You may withdraw from your classes until 90% of the class is completed. You can find the last date to drop a class in the myMadisonCollege portal by selecting Classes > View Classes > Select 'Current Term' > Enrollment Deadlines.

    Each class has their own Enrollment Deadlines which are listed under the class. If you cannot find the last date to drop, please contact Enrollment Services. 

    Outcomes

    Dropping after the class begins may generate a partial refund. Refunds can only be determined after the class is dropped and a tuition recalculation is run. You can use the Tuition Refund Calculator to determine a percentage of a refund you may be eligible for prior to dropping the class.

  • Auditing Classes

    Auditing a class means you attend the class but do not receive a final grade.

    Requirements

    The class must be a degree credit class (noncredit, nondegree and enrichment classes cannot be audited.) A seat must be available, you must meet all enrollment requirements for that class. You also must declare your intent to audit at the time of registration, which must be prior to the class start date.

    Once you enroll as an audit, you must meet attendance requirements, participate in classroom work and complete assignments, but you may not participate in examinations/evaluations. You will receive a final grade of "AU," which is not calculated in your GPA. Staff assistance is required to enroll as an audit.     Students are charged the full cost of the class if enrolled in audit status. Some discounts are available to students 60 years or older.

    Outcomes

    There are a few outcomes to keep in mind:

    • Audited classes do not fulfill admission or enrollment requirements.
    • They also do not count towards a student’s official enrollment status or program certification or graduation requirements.
    • Audited classes do not count for financial aid, or veterans educational benefit calculations. They also do not factor into SAP [link to SAP Page] for financial aid purposes.

  • Waitlist Classes

    Some classes, when full, allow you to be placed on a waitlist. Students are not charged until they are officially enrolled in the class.

    Requirements

    • You must meet all enrollment requirements, and you may not be enrolled in another section of the same course.
    • Some classes, when full, allow you to be placed on a waitlist. You may be automatically enrolled from a waitlist if a spot becomes available. This occurs up to two days prior to the class start date.
    • You are not eligible for automatic enrollment if there if a time conflict exists with another course.
    • You also will not be eligible for automatic enrollment if you have exceeded the maximum number of credits, or will, when the waitlisted class is added.

    Deadlines

    Automatic enrollment from a class waitlist runs up until 2 days prior to the class start date.

    Outcomes

    If you are on a waitlist, you are not officially enrolled in the class, and will not receive a grade. You are also not guaranteed enrollment into the class or that a new section will be created.

  • Swapping Classes

    Swap allows you to drop a class that has already started and replace it with another. Swap is valid for the following types of courses:

    • Degree/credit courses
    • Non-degree/continuing education courses

    Tuition costs may differ from class to class based on fee types of instruction modes and tuition charges may change after completion of a swap.

    Requirements

    You must meet all enrollment requirements for the swap to process. Credits for the added course must be greater than or equal to credits for the dropped course. A swap may only be done during the first seven days of a term.

    Staff-Assisted Swap

    To swap from a higher credit to a lower credit course (i.e., from a 5-credit to a 3-credit course), you must contact Enrollment Services. This action will result in a fee being charged on the dropped credits per WTCS refund policy. The rest of the above terms apply.

    Deadlines

    Ensure you have swapped your classes within the first 7 days of when the term begins.

    Outcomes

    You can complete a swap in your myMadisonCollege portal. Fees will be adjusted as appropriate. The swap process ensures successful enrollment in the new class prior to dropping the old class. If enrollment into the new class is unsuccessful (e.g., class/waitlist closed, enrollment requirements are not met, etc.) the swap process will not drop the current class.

    A student swapping from one class (class A) to another class (class B), regardless of credit differences (e.g. a 3 credit class to a 1 credit class), will only have the class they swapped into (class B) included as an attempted credit for Satisfactory Academic Progress.

    Students who mistakenly add and drop classes instead of using the class swap function during the established class swap period may contact Enrollment Services at enrollmentservices@madisoncollege.edu to have a review of their enrollment transactions completed. If the added and dropped classes would have otherwise qualified for a class swap, the student’s record will update and any corresponding tuition adjustments will be made.

  • Section Changing Classes

    Fill out the section change approval form and obtain the appropriate permissions as outlined below.

    • Permission is required from the instructor of the class to be dropped.
    • Permission is only required by the instructor of the section to be added after the last date to enroll has passed.

    Deadlines

    A section change can be completed at any point in the term with the appropriate permissions. You will need to submit the form within 5 days from the instructor’s signature date.

    Outcomes

    Download and complete a Section Change Approval form (PDF).

    After you have completed the request form process, you will be able to change from one section of a course to another section of the exact same course without penalty.
